Administrative services

The Administrative and Management Manager of the Department is Annamaria Iembo.

The Administrative and Management Managercoordinates the administrative and accounting services of the Department and collaborates with the Director and the Bodies, with the general aim of:

  • ensuring the proper management of the administrative, fiscal, and accounting activities of the Department, guaranteeing procedural control and the legitimacy of the acts and procedures adopted;
  • ensuring the activities entrusted to it, in line with the general guidelines identified by the University.

The activities of the administrative services are organized as illustrated in the following organizational chart: 

Budget and Material Resources Office

Mission: Support for the Department's operational and financial planning and management of the budget and all related activities. Oversight of the procurement process for supplies and services and management of the Department's movable and immovable properties.

Main activities:

  • supporting the planning, management, and monitoring of the budget allocated by the University and the Department's own revenues, and managing all related documents;
  • managing the planning and procurement process for supplies and services for the Department's needs, in accordance with current legislation and University regulations, ensuring the necessary actions are taken to rationalize expenditure on the procurement of goods and services;
  • administrative and accounting management of immovable and movable assets (e.g., inventory, acquisition and management of donations, leasing and rental contracts, etc.);
  • accounting and administrative management of contracts for the procurement of goods and services, payment of invoices, and support in preparing documents for reporting expenditure to the Corte dei Conti;
  • recording of spending documents;
  • administrative and accounting management of spending documents for events organized by the Department (scientific conferences and seminars);
  • management of mail, shipments, and stationery.

Research and Project Development Office

Mission: Support for the planning, management, and reporting of research activities and projects, with a particular focus on competitive funding and relations with funding bodies.

Main activities:

  • administrative management in support of research and internationalization, in particular: preparation and management of research project budgets, reporting activities, financial audits;
  • support and advice on the preparation of research contracts and other forms of contracts financed with resources deriving from competitive projects;
  • consultancy and support in the drafting and negotiation of international, national, regional, local, and university projects for the Department;
  • administrative support for the Third Mission, including activities for the promotion and dissemination of research results and products (e.g., department calls for proposals, sponsorship, etc.);
  • legal and administrative support in drafting preliminary agreements with institutions and companies for the preparation and negotiation of research projects (e.g., Non Disclosure Agreement, Memorandum of Understanding, Material Transfer Agreement);
  • consultancy and support to teaching staff in the economic and financial planning of international, national, regional, local, and university research projects.

Personnel and General Services Office

Mission: Administrative management of permanent and temporary staff within the Department, support for electoral bodies and procedures, management of general affairs and general support services for the Department.

Main activities:

  • administrative management of teaching staff, researchers, and research fellows affiliated with the Department, including the preparation of documents and activities for permanent appointments;
  • administrative management of technical and administrative staff assigned to the Department and support to the Director for related matters;
  • management of administrative and accounting aspects, other forms of contract for the selection, stipulation, execution, and conclusion of employment and training relationships (scholarships, etc.) and for other types of collaboration (collaborations, professional services, etc.) in support of research activities, and other types of activities provided for by current legislation;
  • supporting Departmental Bodies, both for electoral processes and for the conduct of meetings (e.g., preparing the agenda, preparing documents, etc.);
  • supporting Departmental Bodies in the planning of teaching, research, and technical staff;
  • management of cross-functional and professional support activities, ensuring updates and advice in the administrative, accounting, and legal fields to the various internal stakeholders within the Department (e.g., insurance matters, etc.);
  • administrative management of activities for the organization of events, conferences, and similar (approval by bodies, sponsorship and service concession contracts, communications to the University, concession of spaces, patronage, etc.).
  • management of reception services and front office;
  • communication management (website, social media, newsletters, etc.);
  • administrative and accounting management of training subsidies (Marco Polo, scholarships, etc.).

Mobility and Collaboration Office

Mission: Management of national and international agreements, missions and travel for staff, students and guests, as well as institutional collaborations.

Main activities:

  • completion of administrative and accounting procedures related to the passive cycle (settlement of missions, travel expenses, reimbursements, replenishment of petty cash, credit cards) in compliance with national regulations and current University regulations;
  • administrative and accounting management of the active cycle (third-party activities, consulting and commissioned research, active tenders, price lists, sales invoices, preparation of active contracts, debit notes);
  • management of tax and accounting activities for the Department relating to research support contracts, ensuring compliance with University rules, regulations, and guidelines, in collaboration with the Research and Project Development Office;
  • preparation of agreements and contracts with external parties, with legal and administrative expertise;
  • administrative and accounting management of collaboration agreements;
  • administrative and accounting management of visiting professors, visiting scholars, and visiting PhD students;
  • support in preparing outgoing and incoming internship agreements relating to PhD students;
  • legal support in the process of preparing and stipulating sponsorship and concession contracts based on University formats, loan agreements, and spaces;
  • management of document flows and the Department's electronic protocol.
